What it does that most small business templates in Notion don’t

The most copied small business templates in Notion are big business systems with a page for everything. This one is made for a small shop or a one-person business, so the home page answers one question first: how is this month going?

  • Profit after costs

Each order’s profit comes from the product’s price and cost, and This month takes off what you spent.

  • Three buttons, that’s it

+ Order, + Expense and + Customer sit on the home page. A new order opens dated today and marked New.

  • Customers fill themselves in

Pick a customer on an order, and their page shows how many orders, how much they spent and when they last bought.

  • A goal for the month

Set a monthly goal and the bar fills as sales come in. On the 1st it starts again from zero.

We set it up from a fresh copy, the way you’ll get it: added an order with + Order, picked a product and a quantity, and checked that This month went from $589 to $625. Then we cleared the samples and brought them back.

What’s inside

The home page opens with This month and three buttons, then Open orders, sales and expenses for the month, your products and your customers. The Business plan and every table sit at the bottom.

Also in the template

  • Where buyers come from

Note where each order came from and where each customer found you, like Etsy, Instagram or a market.

  • A sample candle shop

15 orders, 7 products, 6 customers and 8 expenses show how it all fits together.

  • Clear and bring back

One button hides the sample orders, expenses, products and customers, another brings them back.

  • A Start here page

Six short steps in your copy, with pictures of where to click.

How to use it day to day

  1. When someone buys, click + Order and pick the customer and product.

  2. Drag the order across Open orders as you make and ship it.

  3. Click + Expense when you spend money on the business.

  4. Check This month for your sales, profit and goal.

Set it up in about ten minutes

You do this once. It’s easiest on a computer.

  1. Buy it on Etsy and download the Start here PDF. Open the template link in it and click the Duplicate icon (two small squares) at the top. A free Notion account is enough.

  2. Browse the sample candle shop first. When you’re ready, click Clear sample data on Start here. Anything you add yourself stays.

  3. Open Products and add what you sell with its Price and Cost, what one sale costs you.

The Price and Cost columns marked in Products
  4. On the home page, click + Order when someone buys and + Expense when you spend.

The + Order, + Expense and + Customer buttons marked on the home page
  5. Click the This month card and change Monthly goal.

Monthly goal marked at the top of the This month page, above the month’s sales, spending, profit and goal progress
  6. Open Business plan and replace the sample answers with your own.

Selling a service? It goes in Products too, like a workshop or a coaching session, with what you charge and what one booking costs you.

Is it right for you?

A good fit if

  • You sell on Etsy, at markets or from your own website.
  • You make things by hand or offer a service on your own.
  • You want your profit each month without a spreadsheet.
  • You want a simple list of customers and what they bought.

Look elsewhere if

  • You need accounting, invoices or tax reports. Use bookkeeping software or an accountant for that.
  • You want orders to come in from Etsy or Shopify on their own. You add each order yourself.
  • You run a team with stock in several warehouses.

Questions

Can it do my taxes or bookkeeping?

No. It keeps your own numbers in one place so you can see how the month is going. For taxes, use bookkeeping software or an accountant.

Does it connect to Etsy or Shopify?

No. You add each order with + Order, which takes a few seconds. That keeps it simple and works for any shop.

Can I use it for a service business?

Yes. Each service is a row in Products with its price and what it costs you to deliver, and orders work the same way.

Does it work on the free Notion plan?

Yes, all of it, on a computer and on your phone.

What happens on the 1st of the month?

This month starts again from zero. Every past order and expense stays in Orders and Expenses.

Where does the template go after I pay?

You download a Start here PDF from Etsy with the template link. Open the link and click the Duplicate icon at the top of the page, and the copy is yours to keep and change.
