What it does that most renovation templates don’t

We looked at 27 renovation templates in Notion and read their reviews. Most are free and cover tasks and notes. Few weigh what you spend against your budget, line up contractor quotes or come with a checklist, so this one is built around those three.

  • Spending against the budget

Every cost you log fills the project’s bar. Go past the budget and the line under its name turns red and says so.

  • Quotes side by side

Each quote sits under its project, cheapest first. The one you accept shows next to what’s left in the budget.

  • A checklist for any remodel

Step by step from the first quote to the final walk-through, plus a room by room list for kitchens, bathrooms, living areas and outside.

  • Tasks by phase

Plan, demo, rough-in, install, finish and punch list. The main page shows what’s overdue or due this week.

We set it up from a fresh copy, the way you’ll get it: cleared the sample house and checked every section was empty, added a cost with + Add expense, then brought the whole sample back.

What’s inside

The main page has your project cards, what’s due this week, the budget table, quotes to compare, the shopping list and recent spending. Projects, Tasks, Budget, Quotes, Contractors, the Shopping list, Ideas, Documents and the Checklist each have a page of their own.

Project pages

Status, the budget line, how much is used, tasks done and the dates at the top. Below are the project’s tasks, costs, quotes and materials, in tables you can add to.

Quotes

Every quote with its contractor, amount, status and what’s included, grouped by project with the cheapest first. Set the one you pick to Accepted.

  • Documents

Permits, contracts, warranties and manuals, each with its expiry date.

  • Photos

Before and after photos on each project.

  • Sample house

Five sample projects, with a kitchen remodel halfway through, show how it works. One button clears them, and another brings them back.

How to use it

  1. Paid for something? Click + Add expense, pick the project and type the amount.

  2. Check This week on the main page for tasks that are due or overdue.

  3. When a quote comes in, add it with + Add quote and compare it with the others.

  4. Before a trip to the store, open the Shopping list.

Set it up in about five minutes

You do this once. It’s easiest on a computer.

  1. Buy it on Etsy and download the Start here PDF. Open the template link in it and click the Duplicate icon (two small squares) at the top. A free Notion account is enough.

  2. Open Start here and click the button to clear the sample house, so you start with an empty planner.

  3. In Projects, click New. Add a name, an area, a budget and your dates (turn on End date in the date picker).

  4. Open the project and add its tasks, each with a phase, a status and a due date.

  5. Each time you pay, click + Add expense, pick the project and fill in the amount. Tick Paid once it’s settled.

  6. Add each quote in Quotes with the contractor and the amount, then set the one you pick to Accepted.

Paying a deposit or adding a change order? Start here shows how to log both.

Is it right for you?

A good fit if

  • You’re planning a remodel or a few room projects and want the money in one place.
  • You’re getting quotes from contractors and want to compare them.
  • You do some jobs yourself and hire out others.
  • You’ve been keeping it all in a spreadsheet and want something easier.

Look elsewhere if

  • You want costs pulled in from your bank or receipts. You type each one in.
  • You run a building business and need bids, clients and invoices. It’s made for your own home.
  • You want to draw floor plans. You can attach plans as files or photos.

Questions

Does it work on the free Notion plan?

Yes, all of it. Each file you upload can be up to 5 MB, so for a large PDF or photo, paste a link instead.

Does Spent include costs I haven’t paid yet?

Yes. Spent counts every cost you log for a project, paid or not, so the bar shows what you’ve committed to. Tick Paid to see what’s settled.

How do I log a deposit or a change order?

Log each payment as a cost with the contractor picked, so it counts in what you’ve paid them. Add a change order as another accepted quote.

Can I use my own currency?

Amounts are in US dollars. To switch, change the number format of the money fields and the $ sign in the Budget line formula on Projects. Start here has the steps.

Can I use it on my phone?

Yes. In the Notion app, tap + Add expense on the main page to log a cost at the store, and add a photo of the receipt.

Where does the template go after I pay?

You download a Start here PDF from Etsy with the template link. Open the link and click the Duplicate icon at the top of the page, and the copy is yours to keep and change.

How it works inside

Budget line
Spent of Budget, like $11,745 of $18,000. Past the budget it turns red and adds “over budget”.
Left
Budget minus Spent. It doesn’t take off the rest of an accepted quote or the shopping list, so the Budget table shows those next to it.
Used
Spent divided by Budget, shown as a bar on the project card.
Still to buy
The total of the project’s materials set to To buy or Ordered.
When
Done in green, Overdue with the days in red, Today, Tomorrow or In N days.
Clear sample data
Hides the sample projects, tasks, costs, quotes, materials, ideas, documents and contractors. A button at the bottom of Start here brings them back.
