Your clients, a finished portal with work to approve, requests and invoices, and how to share it, filmed in the real template.

What it does that most client portal templates don’t

We read more than 40 reviews of client portal templates in Notion. Buyers love a clean page that looks professional in front of clients, and the one low written review says a part shown in the video turned out to be an empty page. So every portal here comes filled in, and each client gets a page of their own.

  • Clients never see each other

Each client has a page with its own tables. You share that one page, never your list of clients.

  • Your rates stay private

Rates, payments and notes live in Private notes on your home page and are never linked into a portal.

  • Approve or ask for changes

Work goes in Ready for your review, and your client marks it Approved or Changes requested, with feedback next to it.

  • A new portal in one click

+ New client opens a fresh portal with empty tables of its own, ready to share.

We set it up from a fresh copy, the way you’ll get it: added a client with + New client, checked that the new portal got its own empty tables, and cleared the samples.

What’s inside

The main page shows your clients as cards, then Private notes. Each card opens to that client’s portal, and two guides cover setup and sharing.

A portal for every client

Status, next call and next step at the top, a welcome note, quick links for booking, files and payment, then Ready for your review.

Requests, meetings and invoices

Requests and questions from either side, meeting notes with action items, and invoices with the amount, status and a payment link.

Private notes

Billing, rate, what’s been paid so far and notes for each client, on a page only you can see.

How to share a portal

Two ways, step by step: invite your client to comment and edit, or send a read-only link. Then what they see and what they never see.

Also in the template

  • Make it yours once

Edit the New client template, and every new portal gets your welcome note, your links and only the sections you use.

  • Two finished examples

A coaching client and a social media client show portals in use, from a values worksheet to a content calendar.

  • Files on every portal

A spot for the brand guide, the contract or an onboarding questionnaire.

  • Clear and bring back

One button hides the sample clients and their notes, another brings them back.

  • A Start here page

Six short steps in your copy, with pictures of where to click.

How to use it with each client

  1. Add finished work to Ready for your review.

  2. Check Requests and questions for anything new.

  3. After a call, add a row to Meeting notes.

  4. Add each invoice and mark it Paid when it comes in.

Set it up in about ten minutes

You do this once. It’s easiest on a computer.

  1. Buy it on Etsy and download the Start here PDF. Open the template link in it and click the Duplicate icon (two small squares) at the top. A free Notion account is enough.

  2. Look through Jordan Ellis and Lumen Wellness, then click Clear sample data on Start here. You can bring them back.

  3. In Clients, edit the New client template: your welcome note, booking and payment links, and only the sections you need.

  4. Click + New client, type the name and set the Status and Next step. The page that opens is their portal.

The + New client button marked on the main page
  5. Share only that client’s page. How to share a portal shows both ways: an invite or a read-only link.

  6. Add work to Ready for your review and set its status to Ready for review.

The Status column of Ready for your review marked, with Ready for review, Changes requested and Approved
  7. Keep rates and payments in Private notes, never in a portal.

The Rate column marked in Private notes, with each client’s rate

Inviting more than 10 clients? The free Notion plan allows 10 guests, so send the rest a read-only link.

Is it right for you?

A good fit if

  • You work with a handful of clients at a time.
  • You want approvals and questions in one place, not lost in email.
  • You’re a coach, designer, social media manager or small agency.
  • You want clients to see progress without seeing your rates.

Look elsewhere if

  • You need e-signatures or card payments inside the portal. It links to the tools you already use.
  • You want a sales pipeline for new leads. This is for clients you already have.
  • You need more than 10 clients editing at once on the free plan. Read-only links have no limit.

Questions

Can clients see each other?

No. A client only sees the page you share with them, and each portal has tables of its own.

Does my client need a Notion account?

Only to comment or edit. A read-only link opens without an account.

Does it work on the free Notion plan?

Yes, all of it. The free plan lets you invite up to 10 guests.

Can my client see what I charge?

No. Rates and payments go in Private notes on your home page, which is never linked into a portal. A portal shows only the invoices you add to it.

Can I change what’s in a portal?

Yes. Edit the New client template in Clients and every new portal follows it. Portals you already made keep what they have.

Where does the template go after I pay?

You download a Start here PDF from Etsy with the template link. Open the link and click the Duplicate icon at the top of the page, and the copy is yours to keep and change.

The databases

DatabaseWhat it holds
Clients One row per client, and each row’s page is that client’s portal: Status, Next call, Next step, Service, Started and Contact.
Private notes Note, Client, Billing, Rate, Paid so far and Notes, linked one way to Clients.
Inside each portal Ready for your review (Deliverable, Status, Due, Feedback, Link), Requests and questions (From, Status, Date, Notes), Meeting notes (Date, Summary, Action items) and Invoices (Amount, Status, Due, Link).

How it works inside

New client template
Every portal starts from it and gets four fresh tables of its own.
One-way link
Private notes points to Clients, but Clients has no link back, so a shared portal never shows your notes.
Clear sample data
Hides Jordan Ellis, Lumen Wellness and their private notes. Your own clients stay.
